  • RPO programme management: to provide dedicated recruitment operations, pipeline reporting, and cost-per-hire tracking for RPO clients
  • Communication: to respond to your messages, send service updates, and provide relevant industry content where you have consented
  • Business operations: to administer our website, improve our services, conduct internal analytics, and manage our technology systems
  • Compliance and legal obligations: to comply with applicable law, EEOC requirements, state employment regulations, and other legal obligations
  • Risk management: to detect fraud, resolve disputes, and protect the rights and safety of KinzaHR, our clients, and third parties
  • DEI reporting: where engaged for RPO or retained search, to generate diversity metrics and equitable hiring analytics for clients

IV. HIRE CRUSHER AI – USE OF AUTOMATED TOOLS

Hire Crusher is KinzaHR’s proprietary AI recruitment platform, built and owned entirely by KinzaHR. It is not a licensed third-party tool. Hire Crusher is used to assist with candidate matching, structured screening logic, and pipeline analytics.

Hire Crusher does not make final hiring decisions. All shortlist recommendations generated by Hire Crusher are reviewed by a KinzaHR recruiter before being presented to clients. Clients retain full discretion over all hiring decisions. V. WHO WE SHARE YOUR INFORMATION WITH

KinzaHR does not sell your personal information. We do not rent or trade candidate or client data to third parties for marketing purposes. We may share your personal information in the following circumstances:

A. Within KinzaHR

Personal information is accessible to KinzaHR staff and affiliated entities who have a legitimate need for it to deliver our services, administer our business, or fulfil legal obligations.

B. With Clients (Candidates)

If you are a candidate, we will share your professional profile and application materials with the client organisation(s) for whose roles you are being considered. We will not present your profile to a client without first discussing the opportunity with you, except where your profile is held in our database for general talent mapping purposes.

C. With Service Providers

We engage trusted third-party service providers to support our operations, including:

  • Applicant tracking and talent acquisition software providers
  • Background screening and reference verification agencies
  • IT infrastructure, cloud hosting, and cybersecurity providers
  • Marketing, analytics, and CRM platforms
  • Professional advisors (legal, financial, accounting)

All service providers are contractually required to process personal information only as instructed by KinzaHR and to maintain appropriate security safeguards.

D. For Legal and Regulatory Reasons

VII. DATA RETENTION

  • Active and former clients: 7 years from the end of the client engagement, or as required by applicable law
  • Candidates not placed: 2 years from the date of last contact or last application activity
  • Placed candidates: 7 years from the end of the placement, or as required by applicable law
  • Suppliers: 7 years from the end of the supplier relationship, or as required by applicable law
